Club Data Protection / Privacy Policy

The British Police Archery Association, is a not-for-profit organisation established to encourage, co-ordinate and promote the pursuit of the sport of Archery and to assist and support its members in maintaining interest in such activity.

The Association operates under a defined governance arrangement set out in our constitution. The Association functions under the direction of the BPAA Administrator who is assisted by other members of a management team, with some members acting in a secretarial / administrative capacity. The daily administration of the Association is carried out voluntarily by the management team some of whom may have retired from full time employment and find it necessary to work from home using their own IT equipment. 

Membership of the Association is made up of serving and retired Police Officers, Police Staff, Officers of the Special Constabulary, of Police forces throughout the UK, either as an official Force Police Archery Club or as individual Police family members who belong to a civilian archery club where no official police archery club exists. It also includes other “Center” invited individuals, all of whom pay an annual subscription to belong. Others also invited to participate are family members, of such serving and retired members of staff. i.e. the Spouse, Partner or the Dependent Children, close friends and others of such a subscribing serving or retired Police or Police staff member.

Our Commitment to Data Security.

The BPAA Administrator oversees matters relating to data protection on behalf of the Association. He is supported when necessary by the members of the management team.  The Association operates under these regulations

The purpose and legal basis for us requiring and processing your personal information.

We collect and process your personal information to enable us to manage the Association’s administrative matters.

It is necessary for us to collect personal information from you when you first apply to become a member, and at other times during your period of membership. This is to maintain our membership list and keep it up to date, for keeping records of accounts, as well as for relevant shoot, tournament and other event purposes.

We communicate general information and events data to our members by posting on our private web site, via the private WhatsApp chat platform, and also by email. Some of your data, is also required to be passed onto Regional Representatives of the Region that you are assigned to on joining the Association. Some data may also be required to be exchanged with other archery clubs /organisations with whom we compete for the purpose of participation and scoring.

  • It is necessary for us to collect and process your personal information to register you as a member and once a member maintain communications with you.
  • Before publishing your details including any pictures of you on our web site or social media.

In our legitimate interests.

  • We have an ongoing responsibility for the administration of the Association.
  • It is therefore necessary for us to do so for our own legitimate interests whilst ensuring at all times that your information and your rights in relation to that information are protected.

When registering with us as a member, the personal information we collect from you is kept to a minimum and contains nothing that is sensitive or special in nature.

Our website is used to promote the Association. To access its full contents or to use it to communicate with us requires you to register, to establish secure access. You can use the website to look up events past, present, and future, photographs of archery, as well as items of archery equipment for sale. The website does not use cookies. Similarly in order for a member to use our private WhatsApp chat platform, it will be necessary to register your willingness to participate in this via the Association Secretary.

Who do we share your information with?

We do not share your personal information with anybody else, other than that as stated above. If asked we would always seek your consent first. The only exception might be if a lawful request was made by a law enforcement authority, such as the police or HMRC.

The period for which we will keep your information

We will retain your personal information for the period of your membership, if you leave the Association your information will be removed and deleted from our membership list, and all other files relating to you as soon as possible. We are however, legally obliged to retain some records, such as those used for accounting purposes for a longer period which in most instances will be for at least seven years.

Your Rights.

We acknowledge your right to be informed, also to request confirmation regarding the personal data we hold about you, your right to be provided with copies ( for a small nominal fee to cover the cost of stationery and printing), also a number of other rights such as a request for us to stop processing your personal data or to have it removed from our data base. You can exercise these rights by contacting the Association Secretary at the email address shown above, however we may require further proof of your identity before acting upon your request.

We also respect your right to withdraw your consent for us to process your personal data at any time. Should you wish to exercise this right we will remove your personal data from our data base as soon as possible. (however please bear in mind that the ability to remain a member following such a request may not be possible).

You also have the right to complain to the regulatory body for the UK, the Information Commissioners Office, www.ico.org.uk if you believe we have breached the data protection act.
